Why Most Cold Emails Fail

Before I share the prompt, let me explain what I was doing wrong.

Most cold emails sound like this: "Hi, I'm [Name] from [Company]. We help businesses like yours achieve [vague promise]. Would you be open to a quick call?"

The problem? It's about you. Not them.

Good cold emails flip this completely. They show you've done research. They identify a specific problem. They offer value before asking for anything.

Doing this manually for 50 prospects takes forever. That's where the prompt comes in.

The Cold Email Prompt

Here's what I use with ChatGPT or Claude:

Write a cold email that:

  1. Opens with something personal (not "I hope this finds you well")
  2. Shows I understand their specific situation in 1-2 sentences
  3. Mentions one relevant result I've achieved (with numbers if possible)
  4. Ends with a low-friction ask (not "book a call")

Keep it under 120 words. Casual but professional tone. No buzzwords.

How I Use This in Practice

I don't just copy-paste the output. Here's my workflow:

Step 1: Research first. I spend 5 minutes on LinkedIn and their company site. I look for recent posts, company news, or pain points they've mentioned.

Step 2: Fill in the prompt. The "something specific I noticed" field is crucial. Could be a LinkedIn post they wrote, a feature they launched, or a hiring pattern that suggests growth challenges.

Step 3: Generate and edit. The AI gives me a solid draft. I usually tweak the opening line and make the ask more specific.

Step 4: Test subject lines. I ask the AI for 5 subject line options and pick the one that feels most natural.

A Real Example

I was reaching out to a marketing manager at a SaaS company. Found a LinkedIn post where they complained about spending hours on weekly reports.

The prompt generated this:

"Hey Sarah,

Saw your post about drowning in manual reporting. That exact problem is why three of my clients switched to automated dashboards last quarter.

One of them cut their reporting time from 6 hours to 20 minutes weekly. Same data, zero spreadsheet wrestling.

Would a 2-minute Loom showing how this works be useful? No pitch, just the workflow."

She replied within 4 hours. Became a client two weeks later.

What Makes This Prompt Work

A few key elements:

The personal detail requirement. Forces you to do actual research. AI can't fake this — you have to input something real.

The word limit. Keeps the output tight. Long cold emails don't get read.

The low-friction ask. "Would a Loom be useful" is way easier to say yes to than "Can we schedule a 30-minute call."

No buzzwords constraint. Stops the AI from writing "leverage synergies" nonsense.

Variations I've Tested

For follow-ups, I modify the prompt slightly:

Make it:

  • Under 50 words
  • Add one new piece of value (a relevant article, case study, or insight)
  • Still no pressure
